Rate Management allows you to view, check, and create resource rates/prices.

Resource Prices can be defined for an individual resource (details) or for resource roles.


After creating or updating prices, the new rates are used for time records.  If you want to apply them for existing, not invoiced time records, you can update the projects (recalculate actuals) or resources (details).


You can access the Rate Management from

  • Resource or Project List - action
    (note that the button does not show for Recently Viewed)
  • Resource or Project - button
  • Related List in a particular Resource or Project record

(you may have to add the button to the page layout)


Query

Query stored prices and show used prices/rates:

Note that the Search Resource Price is not displayed when starting fom a project or resource record (as already selected).

Results are displayed for active resources and active projects, which are not completed.


You can extend the information to be displayed, by selecting one of the options in the section Show Rates for all active - e.g. for a resource group, if no specific resource is selected and project group, if no specific project is selected.  You can also view all the resources/projects where no price/rate is found.


Typical queries are:

  • Show all rates for a project for all resources
    • select the Project
    • select -all- for Resource Group
    • check Show used record if no price found
  • Show all rates for a resource and all projects
    • select the Resource
    • select -all- for Project Group
    • check Show used record if no price found


Note that the costs are managed by the Resource Cost Mgt setting.
If it is "resource", the costs are read-only, if it is "fallback" (default), the resource level price is used.


Used Rates

In the Used Rates result section, you will see the used rates for a resource/project - and the additional query criteria.

Here the options you can view:

  • Price Name (with the additional selections and rates)
    - price found for the exact combination
  • *(r) Price Name (with the additional selections and rates)
    - price found for the resource (i.e. a resource-specific price found)
  • *(p) Price Name (with the additional selections and rates)
    - price found for the project (i.e. a project-specific price found)
  • *(p/r) Price Name (with the additional selections and rates)
    - price found for the project and resource
  • * No Price (with the additional selections and rates)
    - no price information found or derived

When clicking on the Price Name, you will navigate to the stored rate, which you could update or delete there. After that, just click Query again to view the updated results.


Update/Save Rates

You can save the rates for a project.  If you do not want to save a rate for a particular resource, just clear the rate fields.

Copy Rates

Instead of updating the default rates found, you can copy the rates from another project.  Select the project, click Query, and update the rates if required before creating/saving the rates.


Note that you can overwrite the billing price for a specific project line (not displayed here) - see details.


Stored Rates

In the Stored Rates, the underlying records are displayed for the exact query criteria entered: 

When clicking on the Price Name, you will navigate to the stored rate, which you could update or delete there. After that, just click Query again to view the updated results.


Update Rates

You can update and save the rates displayed.


Create New Rates

In the Create new Price Section (only displayed when started from the Resource or Project List)


If you don't enter a Name, it is derived.

You can select a specific resource or a Resource Role.  


You cannot enter duplicate records here (in contrast to the standard Salesforce user interface).

After the record was saved, the information is re-queried to view the result of the new record.


If you entered some query criteria, they are filled in - with the exception of Resource and Role.

You can easily create new rates by selecting a different value and save.
